Egis optimizes its purchasing process with AddWorking

Egis is an international consulting, construction engineering and operations group, founded in France over 90 years ago. With 19,500 employees and a presence in over 100 countries, Egis generates 70% of its business outside France. Egis supports its customers in mobility, infrastructure and construction projects, with recognized expertise and a sustainable approach.
Issues
In January 2022, the Egis Group's spend diagnostic revealed several major challenges. Egis had to manage a purchasing portfolio for external technical assistance of over 100 million euros per year in France, and 150 million euros in total for the group, representing their largest item of expenditure. With over 1,000 suppliers in this segment, it was crucial to improve the allocation and commitment process.
The complexity of these purchases required reinforcement of the Procure to Pay process, the issuing of purchase orders, contractualization and supplier panel management. Egis project managers were having difficulty finding suitable profiles within short deadlines. Egis needed a tool to animate and solicit this panel efficiently. Above all, this tool had to be simple and ergonomic to facilitate its adoption by users.
Solutions implemented
Egis called on AddWorking to optimize and secure the management of its external technical assistance purchases. First of all, AddWorking enabled Egis to set up aMake or Buy system to ensure that any recourse to external resources was fully justified. By setting up a tailor-made internal validation circuit for these expressions of need, Egis was able to guarantee that all requests passed through a rigorous check before being submitted to suppliers.
Secondly, AddWorking set up aproject offer system for Egis, enabling them to directly consult their suppliers referenced on the platform. To reduce the need for re-entering information, the creation of this consultation was automated using information from the previously validated expression of need. Thanks to the panel qualification functions integrated into the tool, Egis teams were able to classify their suppliers according to their own criteria, thus speeding up consultation of the suppliers best suited to their needs.
Egis has also digitized the management of its contracts via AddWorking, in order to speed up contracting with its suppliers and reduce the risks incurred. With AddWorking, Egis teams can quickly and easily create, edit and sign their contracts (thanks to the information contained on the platform being automatically fed into the contract).
Deployment
From January to December 2023, Egis deployed the strategy and worked on configuring the solution. The test phase ran from October to December 2023, followed by deployment of the tool from January 2024. Deployment began with validation by business unit management committees, followed by presentation to business unit managers. Egis and AddWorking then organized user training sessions in groups of 15 people, aiming to train a total of between 300 and 400 users.
